At Insider Divers we take your privacy seriously. But consumers ourselves we do not believe in lengthy statements that are intended at discouraging anyone from reading them. We aim to adhere to international regulations by being transparent and fair.

THE PORTAL

As an extension of our services, Insider Divers Ltd. provides an invite-only Client Relationship Management (CRM) system for registered clients. The PORTAL is designed to facilitate trip planning while securely managing personal client data. The following terms govern the use of this closed PORTAL system:

DATA COLLECTED

  • The PORTAL may collect personal information that includes, but is not limited to:
    • Full name
    • Contact details (email, phone number, physical address)
    • Passport details (for international travel requirements)
    • Emergency contact information
    • Health-related information as needed for trip safety (e.g., medical conditions, allergies, dive insurance details)
    • Trip preferences (e.g., accommodation type, dietary requirements).

PURPOSE OF DATA COLLECTION

  • Personal data uploaded will be used for:
    • Coordinating and managing trips.
    • Meeting regulatory requirements for international travel.
    • Ensuring safety and comfort during the trip.
    • Enhancing customer service and experience.

DATA PROTECTION AND SECURITY

  • Insider Divers Ltd., as a BVI-registered company, complies with relevant data protection regulations to ensure the secure storage and handling of your personal information.
  • The PORTAL is accessible strictly via invitation, limited to authorized clients and Insider Divers employees.

THIRD-PARTY SHARING

  • Personal data are only shared with our Suppliers (e.g., trip operators, guides, hotels, liveaboards) to facilitate bookings and fulfill your services. 
  • While taking care to vet our Suppliers we cannot be held responsible for the Suppliers data handling.
  • Insider Divers Ltd. does not sell, rent, or otherwise disclose your personal data to unrelated third parties.

CLIENT RESPONSIBILITIES AND CONSENT

  • You are responsible for uploading accurate data to the PORTAL and notifying us of any discrepancies or updates.
  • By accessing and using the PORTAL, you agree to the collection, storage, and use of your personal information as outlined in these terms.

RETENTION OF DATA

  • Personal data will be retained only for as long as necessary to fulfill its purpose or as required by law. Personal data will be retained for the duration of your trip plus 12 months for record-keeping purposes unless otherwise required by law. Travel documents will automatically be deleted 60 days after your trip has been completed.
  • Following the conclusion of your trip, you can request to delete your PORTAL profile by contacting Insider Divers Ltd. at info@insiderdivers.com.

RIGHT TO ACCESS, MODIFY, OR DELETE DATA

  • As a customer, you have the right to view, request corrections to, or delete your personal information, provided legal or contractual obligations do not require otherwise.
  • You may access, update, or delete your data by accessing the PORTAL or contacting us at [info@insiderdivers.com] with proof of identity.

HOW DO WE KEEP YOUR DATA SAFE

We leverage encryption, firewalls, and access controls to protect your data against unauthorized access, breaches, and loss.

SECURE CONNECTION  

Everything you do on the portal is encrypted, just like online banking. Your data stays protected both while it’s moving and when it’s stored.

PROTECTED ACCOUNTS  

We never store your password in a readable form. You can use strong passwords or a one‑time “magic link.” Failed login attempts are blocked, and changing your password signs you out everywhere else.

PRIVATE DOCUMENTS  

Trip paperwork is stored safely in the cloud, never on the open web. Only you (and staff for your trip if needed) can access it. Photos have hidden data removed, and sensitive files are deleted once your trip ends.

TAMPER‑PROOF AGREEMENTS  

Signed waivers get a secure digital fingerprint, creating a reliable record for both you and us.

STRONG DEFENSES  

We use multiple layers of protection against attacks, validate everything submitted, and log admin actions for accountability.

RESPONSIBLE DATA USE  

We only collect what’s needed to run your trips safely. Hosting and email are handled by trusted providers. If you ever want your info corrected or deleted, just let us know — we’ll help.

USE IN BVI JURISDICTION

  • In the event of a data-related concern or dispute, please contact us directly at {info@insiderdivers.com]. We will aim to resolve your concern within 30 days. If unresolved, disputes will be settled under BVI jurisdiction.
  • As a company registered in the British Virgin Islands, Insider Divers Ltd. complies with BVI law in maintaining the safety, privacy, and integrity of client data. Should disputes arise, they will be governed by the laws of the BVI.
